Setting Up a Corporate Email Account on an iPhone & iPad (Apple Mail)

A step-by-step guide to connecting your work email to the built-in “Mail” app on Apple devices.

The built-in app Email (Format) Apple offers exceptional stability and seamless integration with the iOS/iPadOS ecosystem. By following the steps below, you can add your corporate account using secure IMAP settings so that your emails are always synced with your office computer.

1

Navigating Account Settings

To begin the process, you'll need to go to the main menu on your iPhone or iPad:

  1. Open them Settings on your Apple device.
  2. Scroll down and tap the option Email (Format).
  3. Click on Accounts and then select Add Account.
  4. From the list of providers that appears, select the last option: Other.

2

Enter Basic Information

On the next tab, click Add a Mail Account and fill out the first form:

  1. Name: Your full name (e.g.,. Kostas Papadopoulos).
  2. Email: Your full company address (e.g.,. [email protected]).
  3. Password: Your email password.
  4. Description: A display name to help you identify this email on your device (e.g.,. Corporate Email). Tap Next.

Configuring IMAP & SMTP Servers

At the top of the next screen, make sure the tab is selected IMAP (not POP). Next, carefully enter the server details provided to you by Skynetix:

Incoming Mail Server

  • Server Name (Host Name): mail.yoursite.gr
  • Username: Your entire email (e.g.,. [email protected]).
  • Password: Your email password.

Outgoing Mail Server

  • Server Name (Host Name): mail.yoursite.gr
  • Username: Your entire email (Again!).
  • Password: Your email password (Again!).

Click Next top right. iOS will verify the settings. On the last tab, make sure the switch Email (Format) is enabled, and then press Save.

💡 Smart Tip: Don't skip the “Optional” fields on the outbound form

iOS reports the Username and Password fields to the outgoing server (SMTP) as “Optional”. Just ignore it! If you leave these fields blank, you'll be able to receive emails but won't be able to send any messages when you're out of the office. Fill them in as usual, as if they were required fields.

⚠️ Troubleshooting: SSL Certificate Error

If, during verification, a message appears stating that “The server’s identity cannot be verified”, click Details and then Trust top right. This happens because the iPhone is trying to verify the SSL security certificate for our mail server. Once you approve it, the connection will be securely encrypted.

The setup is complete! Open the Mail app on your iPhone or iPad. Your work emails will start downloading automatically within a few seconds.

A standard IMAP connection syncs only your emails. However, if you want a contact or calendar event you save on your iPhone to automatically appear in Outlook on your computer or on your Mac, you need a cloud solution. At Skynetix, we can upgrade your infrastructure to **Cloud Exchange (Google Workspace)**. This way, your entire company gains access to shared calendars, shared company contacts, and real-time push notifications for emails—without having to manually refresh!
