How to Process a Refund
Learn how to issue partial or full refunds through WooCommerce while keeping your inventory and statistics organized.
In e-commerce, order cancellations and product returns are part of everyday business. WooCommerce features a built-in refund mechanism that allows you to accurately track these transactions. This way, you avoid accounting errors and automatically update your inventory for products being restocked on the shelves.
Order Tracking and Initiation of the Process
First, log in to your WordPress admin panel and follow these steps:
- Go to the menu WooCommerce -> Orders and open the order you want to cancel or return.
- Scroll down to the large box that shows the items you purchased (Items).
- At the bottom left of the product table, click the gray button that says Refund.

Quantity Definition and Stock Return
As soon as you click the button, new fields will appear next to each product in the list. You can either Total or Partial refund:
- About the products: In the "Quantity" (Qty) field for the product being returned, enter the number of items (e.g.,.
1). WooCommerce will automatically calculate the refund amount. - Return of Shipping Costs (Optional): If you would like to refund the shipping costs as well, you can manually enter the amount in the corresponding field under "Shipping.".
- Return to the Warehouse: Make sure the box Restocking Refunded Items This option is selected so that WooCommerce automatically adds the products back to the e-shop's available inventory.
Before completing the return, fill in the field Reason for Refund (e.g., “Customer changed their mind” or “Defective product”). This text will appear in the order history and will help you and your accountant remember exactly why the return was made months later.

Completion: Manual vs. Automatic Return
In the final step, you'll see one or two buttons to complete the process, depending on how the customer paid:
Processing a partial refund does not automatically change the status of the entire order. If you issue a refund for only one item in an order of three items, the order will remain “In Progress” or “Completed.” If you issue a full refund for all items, remember to manually change the order status to “Refunded” ή “Cancelled” in the upper-right corner so that it closes properly.
